Who gets fired?

I had a meeting recently that a client asked me that question.  I thought my response would interest you also.

 Dick, I enjoyed our conversation a few weeks ago when we discussed document imaging technology and I demoed Laserfiche.  I said that this technology can save you and your staff many hours each week.  I also shared with you statistics from reliable sources, such as: 

“Professionals spend 50 percent of their time searching for information, and take 18 minutes to locate each document on average.“

“Companies on average spend $25,000 to fill a typical four-drawer file cabinet, $2,000 to maintain it each year, and over its life-span, a single sheet of paper ends up costing an average of $30.”

 Then you asked me a question that has been haunting me ever since.  You said, “Who gets fired?”  Because, if no one gets fired, then we really don’t save anything.”  I didn’t have an answer for you that day, but I do now. When you implement Laserfiche document imaging and save valuable time, you can do 3 things:

1.    You could do nothing different and your employees would find ways to fill up the time.  If they use the time wisely and actually do something that brings in more revenue or offers better customer service, there is a slight chance you could save money or earn more money by doing nothing.

2.    The second thing you could do is work with your employees to take the extra time that the Laserfiche document imaging system has saved them to help them find opportunities in your office to become more efficient.  This would definitely help your organization be more profitable.

3.    The third thing you could do is to delegate some of your tasks to your employees that have more time because Laserfiche document imaging has made them more efficient.  And then you could have more time to spend with your family and friends, or you could spend your extra time creating new ideas to generate new revenue opportunities for your organization.  This would definitely help your company be more profitable. 

You were right:  simply purchasing a document imaging system may save time, but it will not save you money unless you use the saved time wisely to improve other processes within your organization.  Just think of the long-term effect on your organization if Laserfiche saved each employee one hour a week and they spent that hour finding ways to save another hour each week.  If this refinement process continued, it could transform your organization.
